1. Introduction
9533-1518 Québec inc., doing business as Pilr Inc. ("Pilr," "we," "our," "us"), operates ImmoFax, a real-estate due-diligence support tool offered as an online platform (the "Service"), together with the ImmoFax product website at https://immofax.ai (the "Site"). This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with the ImmoFax Service and Site.
We are committed to protecting personal information in accordance with Québec's Act respecting the protection of personal information in the private sector (Law 25) and applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA).
This policy covers the ImmoFax product (the Service and the immofax.ai Site).
Our separate corporate marketing website at https://pilr.ai is covered by its own privacy policy. By creating an ImmoFax account, using the Service, or submitting information through the Site, you agree to the practices described in this policy.
2. Who This Policy Applies To
ImmoFax is a professional tool intended for real-estate brokers, agencies, and other real-estate professionals and businesses. In this policy, "you" means a user of the Service or a visitor to the Site.
3. Personal Information We Collect
a) Account and profile information.
When you register and use the Service, we collect your first and last name, email address, telephone number (if provided), professional information (such as your brokerage or agency, professional or licensing details you choose to provide, and company), and your account credentials.
b) Information you submit or upload.
We collect the addresses and properties you search, the documents, files, and content you upload to the platform (including property-related documents), and your communications, requests, and correspondence with us. Documents you upload may themselves contain personal information about other individuals (see Section 4).
c) Payment information.
When you purchase a subscription, payments are processed by our third-party payment processor, Stripe. Stripe collects and processes your payment-card and billing details directly. We do not receive or store complete payment-card numbers. We receive limited billing and transaction information, such as your name, billing email, subscription status, the last digits of your card, and payment confirmations.
d) Information collected automatically.
When you use the Service or Site, we and our infrastructure providers process standard technical data, such as your IP address, device and browser (user-agent), the pages and features you use, and log, diagnostic, and security data, in order to operate, secure, and improve the Service and Site.
e) Cookies and similar technologies.

4. Property Data and Information About Third Parties
ImmoFax helps you compile and review property information drawn from public, municipal, environmental, and third-party sources. Much of this information comes from public registries and publicly available sources. You may also upload documents that contain personal information about other individuals (for example, owners named in public-registry records).
You are responsible for ensuring that you have the right to upload and process such information for your professional purposes, and for using the resulting reports in compliance with applicable law and your professional obligations. We process this information on your behalf in order to provide the Service to you.
5. Why We Collect and Use Personal Information
We collect and use personal information only for legitimate, specific, and necessary purposes, including to:
- create, authenticate, and manage your account;
- provide, operate, maintain, and improve the Service, including compiling property information and generating reports;
- process your subscription and payments (through Stripe);
- communicate with you, respond to your requests, and provide customer support;
- ensure the security and integrity of the Service, and prevent fraud, abuse, and misuse;
- comply with our legal, regulatory, and professional obligations.
6. Consent
We collect and use personal information with your consent, obtained in accordance with applicable law. We rely on express consent where required (for example, for account creation or sensitive information) and on implied consent where appropriate, based on the context and your use of the Service.
You may withdraw your consent at any time by contacting our Privacy Officer (see Section 15), subject to legal or contractual limitations. Withdrawing certain consents may prevent us from providing all or part of the Service.
7. How We Use and Share Information
Pilr does not sell personal information.
We share personal information only with:
- our authorized personnel and contractors who need access to operate the Service, under confidentiality obligations;
- service providers that process personal information on our behalf and under our instructions, including Stripe (payment processing, in the United States) and the providers that host, secure, and store the Service and your data within Québec, Canada;
- our professional advisors (such as legal and accounting advisors); and
- government, regulatory, or other authorities where required or permitted by law, or where necessary to establish, exercise, or defend our legal rights.
We require all third parties to keep personal information confidential, to protect it with appropriate safeguards, and to use it only for the purposes we specify.
8. Retention
We keep personal information only for as long as necessary to fulfil the purposes described in this policy, to provide the Service to you, and to comply with our legal, regulatory, accounting, and professional obligations. Account information is retained for the life of your account and for a reasonable period afterward. Documents you upload and the reports generated are retained in accordance with your account and our operational needs, after which they are deleted or anonymized. Server and security logs are retained for limited periods.
9. Security
We implement reasonable physical, technical, and administrative safeguards to protect personal information, including:
- encryption in transit (HTTPS/TLS);
- access controls, authentication, and the principle of least privilege;
- hosting and storage of Service data within Québec, Canada, with appropriate technical and organizational safeguards;
- confidentiality commitments for our personnel and service providers; and
- monitoring and logging to detect and prevent abuse.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
10. Your Rights (Québec and Canada)
Subject to applicable law, you have the right to:
- access the personal information we hold about you;
- request the correction (rectification) of inaccurate, incomplete, or outdated information;
- withdraw your consent;
- request the deletion or anonymization of your information where permitted by law;
- receive the computerized personal information you provided to us, in a structured, commonly used technological format (data portability), where required by law; and
- obtain information about any automated processing of your personal information, where applicable.
How to exercise your rights.
To exercise any of these rights, contact our Privacy Officer at info@pilr.ai (or at the address in Section 15). We will respond within the timeframe required by law (generally within 30 days under Law 25).
Complaints.
If you are not satisfied with how we handle your personal information or your request, you may file a complaint with the Commission d'accès à l'information du Québec (CAI) at www.cai.gouv.qc.ca. You may also contact the Office of the Privacy Commissioner of Canada under PIPEDA.
11. Automated Processing
ImmoFax analyzes property data and generates structured reports and risk signals to assist your professional review. ImmoFax does not make decisions that produce legal effects concerning you, or that significantly affect you, based solely on the automated processing of your personal information; the professional user always exercises their own judgment. If any decision about an individual were ever made exclusively on the basis of automated processing, we would, on request, provide the information and rights required under Law 25.
12. Cookies and Similar Technologies
We use cookies and similar technologies that are necessary to operate and secure the Service and Site, for example to keep you signed in, maintain your session, and protect against abuse. We may also use limited functional and measurement technologies to understand and improve how the Service is used. We do not use cookies for advertising. You can control cookies through your browser settings; disabling certain cookies may affect the functioning of the Service.
13. Transfers Outside Québec
Personal information processed through the ImmoFax Service and Site is stored and processed within Québec, Canada. However, certain limited information is processed outside Québec and Canada by specific service providers — in particular, the payment-card and billing information processed by Stripe in the United States.
Before such transfers, Pilr assesses whether the information will receive adequate protection (a transfer assessment as required under Law 25) and relies on contractual and other safeguards.
14. Minors
ImmoFax is a professional tool and is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.
